What they came to us with.

Meridian Events produces over 4,200 events per year across corporate conferences, cultural festivals, and private gatherings. Before we came in, day-of coordination happened across radios, group texts, spreadsheets, and shouted conversations. When a vendor was late or a session ran long, the information took too long to reach the people who needed it. Event managers spent their time chasing updates instead of solving problems.

What we built.

We built a real-time coordination system that unifies vendor check-ins, run-of-show tracking, and attendee flow in one place. The system knows when a caterer arrives, when a session is running over, and when a room is hitting capacity — and it surfaces this to the right people before they have to ask. We designed it to work on tablets and phones, with offline capability for venues with spotty connectivity.

03 · the outcome

Where it landed.

Day-of coordination calls dropped by 68%. Event managers report spending more time on the floor with guests and less time on their phones. The system now handles logistics coordination for all 4,200 annual events, and Meridian has started licensing it to partner production companies.
